At DD Events, we are committed to delivering high-quality event production services across the UK, including event management, AV hire, lighting, staging, and technical production. We understand that plans can change, and this Refund Policy outlines how cancellations, deposits, and refunds are handled in a fair and transparent manner.

By booking our services, you agree to the terms outlined below. These policies are designed to protect both our clients and our operational commitments, including equipment allocation, staffing, and event scheduling.

1. Booking Confirmation & Deposits

All bookings with DD Events are confirmed only after receipt of a deposit or full payment. Deposits are essential to secure your event date and ensure availability of required equipment and professional staff.

  • All deposits are strictly non-refundable
  • Deposits cover administrative planning, logistics, and resource allocation
  • No work or preparation will begin until payment confirmation is received
  • Final balances must be paid within the agreed timeframe before the event date

2. Event Cancellation Policy

If you need to cancel your event, the following refund structure will apply based on the notice period provided:

  • 30+ days before event: Partial refund may be issued after deducting deposit and any administrative or planning costs
  • 15–30 days before event: Up to 50% refund may be offered depending on services already arranged or costs incurred
  • Less than 14 days: No refund will be provided due to confirmed bookings, staffing, and equipment commitments

Please note that last-minute cancellations significantly impact scheduling and resource allocation, which is why stricter policies apply.

3. Rescheduling Policy

We understand that unforeseen circumstances may require event rescheduling. Where possible, DD Events will attempt to accommodate a new event date.

  • Rescheduling requests must be made in writing
  • New dates are subject to availability of equipment and staff
  • Additional costs may apply depending on changes in requirements or logistics
  • Rescheduling within short notice may be treated as cancellation

4. Cancellation by DD Events

In rare cases where DD Events is unable to fulfil the booking due to unforeseen operational issues, supplier failures, or other unavoidable circumstances, we will:

  • Provide a full refund of any payments made, OR
  • Offer an alternative date or comparable service solution

We will always aim to minimise disruption and provide a suitable resolution for our clients.

5. Force Majeure

DD Events shall not be held liable for delays or cancellations caused by events beyond our reasonable control, including but not limited to:

  • Extreme weather conditions affecting UK event operations
  • Government restrictions, lockdowns, or legal regulations
  • Venue closures or access limitations
  • Technical failures or third-party supplier disruptions

In such cases, refunds will be assessed on a case-by-case basis depending on costs already incurred and services delivered.

6. Refund Processing Time

Any approved refunds will be processed within 7–14 working days using the original payment method. Processing times may vary depending on banking providers.

7. Non-Refundable Services

Certain services may be non-refundable once confirmed, including:

  • Custom equipment bookings or special orders
  • Third-party vendor services secured on behalf of the client
  • Last-minute bookings or urgent production services
